Sales Lead Management
Xware provides you with a very sophisticated and flexible Lead Distribution Engine, allowing you manage your leads how you want them managed. There is no limit to the number of skill levels that can be defined for your sales staff, and each level can have its own set of lead distribution rules and goals, configurable on fields such as debt amount, number of leads received, time periods, leads expected, etc… Leads can we imported automatically via our web services interface from any of your lead vendors, or can be imported from a spreadsheet or csv. file. Leads can also be entered manually into the system. A wide array of reports are also available to manage the process.
Electronic Signatures
Xware has fully integrated Electronic Signatures, allowing you to send your customer enrollment documents via email and have the customer sign them on-line! No more printing, signing with a pen, and faxing! The customer can sign the documents simply by a few clicks of the mouse! This process will shorten your time-to-close ratios, increase revenue, and make the enrollment process painless for your customers. It is secure, legally binding, and simple to use!

Dynamic Custom Forms and Letters
Each user can create their own custom forms and letters, with the ability to have the system automatically insert any data field into the document. Full color and graphics can also be inserted. These dynamic forms and letters can be specified at the individual user level, or created globally for all users to access. This feature is also available for emails.

Email
Fully integrated Xmail subsystem is included with Xware. This system is web based and eliminates the need for you to purchase and use MS Outlook or Exchange. All of your correspondence is managed within Xware. Email is generated in HTML allowing you to include logos, graphics, charts, etc…
Calendar
Create appointments and set reminders just like MS Outlook.
Tasks
The Task system allows each department to create their own task types, and define their own workflow utilizing the task system. Tasks can be created for individuals, teams, or groups, and are checked in/out of various queues. Each user has their own personal queue in which to track their work items.
Bulk Email Campaigns
Through Xware’s powerful Xmail system, you are able to run fully integrated Bulk Email Campaigns, based on a wide range of selectable criterion.
Workflow Driven Enrollment Process
Rapidly enroll customers using Xware’s simple user interface. Made to work the way you work, following the flow of the sales presentation. Ensures all the required information is captured and program specifics are explained and disclosed. The Xplan Program Calculator automatically generates the appropriate program schedules based on your parameters (plans), including state, and generates the entire Enrollment Package. The EP is then ready to be sent via Electronic Signature, E-fax, or Email.
Xplan Program Calculator and Payment Plans
Immediately generate all the program details based on various payment plans and options, including verbal explanations to aid your staff in explaining the options to your customer. You can define plan components such as fees, installments, and savings, and define how they are calculated and when they are applied.
Notes
Unlimited notes are available and retrievable based on user role and type. Notes can be entered and retrieved from anywhere in the system.
Index Card
The Index Card is a quick overview screen that provides a detailed snapshot of the entire customer account. It is available from anywhere in the system.
Enrollment Package Management
Standard or Customized Enrollment Package is available. All required documents are easily created in Microsoft Word and are dynamically completed for you by Xware. Multiple EP versions are allowed and tracked in detail.

Contract Processing
Once a contract is submitted from sales, Xware provides the checklist’s and process tools to allow your staff to ensure that each contract is complete and all documentation has been collected.
Paperless Environment
Full Document Management including document scanning and image viewing is integrated into Xware. All customer correspondence can be stored in the system and is accessible through each customer’s account. With everything online, no paper is necessary.
Notes
Extensive note capabilities are present throughout the system, including an array for predetermined “auto-notes,” that save entry time by inserting the note with one click. Access to certain note types can be given or revoked based on the user profiles (roles).
Customer Accounts
All screens are designed to be easy to navigate for the customer service representative. All data pertaining to a customer account, including all documents and correspondence, is accessible within each customer’s account.

Automated Clearing House (ACH)
Imports NSF transactions directly from your bank. Posts NSF fees to customer’s account. Retains batch transaction details. Automatically verifies ABA routing number and populates the bank indemnification information. Imports government financial standard format (NACHA).
Accounting
Accounting support for multiple companies and fee models. Ability for Service and Accounting groups to view and update Scheduled Fees. Ability to assign enhanced access/update rights by roles. Ability to track all posted/paid scheduled fees. Ability to manually create/delete scheduled fee payments. View and manage detailed Scheduled Fee transactions including Total Payment along with specific breakdown of fees. Single view displays the appropriate Scheduled Fees or Contract Details based on the Calculator used to generate the contract. Schedules Fees, Payments, and Tracks Negotiation Payments.

Event-Based Automated Emails
